BOOKING CONDITIONS

All reservation requests shall be made in writing and sent to us by email to one of our agents at: andrea@kapajourneys.com or paulina@kapajourneys.com to handle and be accepted by Kapa Journeys.

1. CONFIRMED BOOKING PROCEDURES & PAYMENTS

Once you confirm booking your trip with us, we will require a minimum deposit of 30% within 2 days of written confirmation.
A second deposit of 30% is due 120 days prior to departure date, and the remaining 40% is due 90 days prior to departure in case of Galapagos Cruises and 60 days prior to departure in case of land programs.

In the case of those bookings confirmed less than 60 days before departure, full payment is due immediately.

Reservations will not be considered guaranteed until the payment has cleared our account.

2. CONFIRMED PASSENGERS DOCUMENTS

Once we have the program confirmation and the initial deposit (30%) we require the complete names of the passengers, passport numbers, dietary and medical requirements.

3. DOCUMENTATION FROM KAPA JOURNEYS

Documents include vouchers for prepaid services and airline tickets (if applicable). They will be sent via email upon receipt of final payment.

4. CANCELLATION POLICY

4.1 FITS
▪ For Individual bookings, cancellations received up to 121 days prior to departure will be refunded in full except for a $50 service charge.
▪ From 120 to 61 days prior to departure, the deposits will not be refundable.
▪ 60 days prior to departure, reservations shall automatically be considered as firm, the entire tour/cruise rate is forfeited.
▪ Once the tour has started, there will be no refund for unused services.

4.2 GROUPS
▪ For Groups or Charter bookings, cancellations received in writing 181 days prior to departure will be refunded in full except for a $250 per person service charge.
▪ From 180 to 61 days prior the departure, 50% of the total tour/cruise rate will be forfeited.
▪ 60 days prior to departure, the entire tour/cruise rate is forfeited. Once the tour has started, there will be no refund for unused services.

5. GENERAL CONDITIONS

For land tours, in case of cancellation due to sickness or death of a family member (close blood relative), a 50% reimbursement will be given. The presentation of a medical certificate is required with the registered number of the MD included.

For dive cruises, Galapagos naturalist cruises or any other cruise, the booking conditions for refunds depend on the boat operator and not Kapa Journeys. We are intermediaries and we cannot refund money that has been paid to other companies.

As a basic principle, no refund will be made in case for any unused hotel accommodation, service or transport. However, if we can obtain a refund from hotels or operators for services not used, we will gladly transfer this back to the client, minus an administrative fee. Kapa Journeys’ responsibility will not extend beyond this refund and no payments will be made, or compensation given for claims for contingent liability or inconvenience experienced by clients. No refund can be made on lost, mislaid or destroyed tickets or vouchers.

6. CLIENTS RESPONSIBILITIES

Clients must ensure that all travel documents, passports, visas, vaccination certificates, currency and travel insurance are up to date.

Kapa Journeys will give general advice on these matters but cannot be held responsible if there are problems and we have already informed you about the requirements.

It is important to state that Kapa Journeys can offer travel insurance to clients arriving in Ecuador but will not be held responsible for any eventuality such as death or accident while clients are traveling in the country. Kapa Journeys will assist clients in communicating with their travel insurance providers and will coordinate medical assistance while in Ecuador.
